Thanks for your message. We will try to clarify the situation with the calculation of the rental period and related costs, for both rate plans and options/extras.

As you’ve noticed, the system calculates the exact duration of each rental in hours, by using the pick up and drop off dates and times. An half-up rounding method is eventually applied to get the closest duration in hours in case minutes or seconds are greater than zero.

Such duration expressed in hours is then converted into a number of days of rent in case the total duration is longer than 23 hours. In your example, a rental from July 22nd at 10AM till July 23rd at 11AM gives a duration of 25 hours. In this case the system could apply a cost for 1 day of rent if you had defined in the Configuration settings a number of hours for the gratuity period equal to or greater than the exceeding hours (25 – 24 = 1 extra/exceeding hour). Alternatively, the system could apply a cost of 1 day of rent plus the cost for the calculated extra hours (“exceeding hours” minus “hours for the gratuity period”, which is 1 in your case, 1 – 0 = 1).

If no gratuity period covers the calculated extra hours, and if no extra hour fees are defined for the number of exceeding hours, then the system will apply the rental cost for the next number of days of rent, which is 2 days in your case.

Once the rental duration has been calculated, any additional extra service/option will be charged accordingly. If you create an option/extra service with the setting “Daily Cost” enabled, then the option cost will be multiplied by the calculated number of days of rent, which is 2 in your case. The “Selectable quantity” is a different setting for your options/extras, and it’s just a multiplier factor to calculate the cost for the selected option/extra service. If you wish to have the option/extra costs multiplied by the number of days of rent, then it’s sufficient to enable the setting “Daily Cost” from the edit page of your options/extras. You should ensure no other settings will cause conflicts with the various calculations.
