Important notes (lol): In-depth breakdown of the problems we’re facing and the solutions we’re looking for below the TLDR. #1: The person sitting at the computer who will be handling the intake forms/customer support/invoicing is not super tech savy. Please keep that in mind! #2 the director is a clown. I’ve suggested logical solutions for several issues he keeps causing us but he’s not a great listener. #4 With that being said, this is what director man wants:
1. When people submit a form, it gets sent to some sort of crm/software/database where we can centralize their info (name/email/etc), being able to see historical conversations is a +.
2. Have the option for businesses to pay up front/on the website. Whether the payment gets processed on the website or on a third party site I’m indifferent, either or works.
TLDR: Site is on wordpress, currently using contact form 7 to manage inbound form submissions. These form submissions typically end up with us sending over an invoice manually through paypal at the end.
Problems:
* Contact form 7: Tons of spam clogging up inbox, unorganized in gmail, no historical convos/transaction history. Thinking I need to swap out contact form 7 for some sort of VERY simple CMR? Over the course of the year, being able to cleanly track/keep organized 50-100 form submissions/unique ad buyers for the year – the less bells and whistles the better..
* Sending over Manual Invoices from PayPal / having to chase people down. Ideally we take payments up front on the website; seems like stripe would be the easiest?
Full background:
We’re a non-profit and our website is on WordPress. Our director started selling ad spots on our website to local small businesses. It started out with just 1 or 2 businesses, but now it’s rapidly increasing! With their current set up, it makes it near impossible to even respond to people, let alone keep track of any sort of payments/rates/etc. Additionally, the amount of spam entries from the form have clogged up pages & pages in our GMAIL 🙁
We have a form on our website where small businesses can request more info on pricing and such – this form is using Contact Form 7. The way the leads come in seems super complicated.. Additionally, my boss seems to change rates for ad spots depending on the business. This causes issues because invoicing these people each month requires having to dig through the bombarded GMAIL inbox/convos. I feel like a CRM of some sort would be the easiest solution here; along with using a different form (unless someone can show me how to like Contact form 7). I don’t forsee this growing like crazy; 50-100 form submissions/unique ad buyers for the year would be a stretch.
Additionally, we’re using paypal everytime someone needs an invoice and then manually sending the payment form, sometimes we have to chase them down/they don’t get paid at all. If we wanted to provide the option to accept payments through the site up front, i’m assuming integrating Stripe with our website somehow might work?
I’m not even sure if this is a wordpress question tbh! After typing all of that out, sounds like I should be looking for CRM’s / payment processors that integrate with WordPress?
